The Administrative Assistant (Organizational Effectiveness) at Methodist Children's Home performs a wide range of administrative and clerical activities to support the efficient operations of the organization's mission and strategic initiatives.
This position requires knowledge of administrative and clerical systems as well as word processing, spreadsheet, database, and presentation software.
This position directly reports to the Vice President for Organizational Effectiveness and provides support for the department which involves frequent contact with consumers, agency employees, other agencies, vendors, and visitors.
This position requires interacting with others professionally and courteously.
The Administrative Assistant (Organizational Effectiveness) must maintain a healthy value system, including moral and ethical behavior consistent with the agency's mission and core values.
*DUTIES AND RESPONSIBILITIES* * Provide comprehensive administrative support to the Organizational Effectiveness area, including answering, screening and transferring inbound calls, scheduling meetings, preparing correspondence, and maintaining records to ensure the efficient operations of the department.
* Welcome and greet visitors to the Administration Building in a friendly and professional manner.
* Monitor lobby area and observe security protocols to ensure the safety and security of employees, visitors, and facilities.
* Coordinate security camera coverage with the Human Resources team when needed.
* Alert appropriate personnel to any suspicious activities or security concerns.
* Assist visitors as needed, including directing them to their appointments or contacting the appropriate staff member for assistance.
* Complete assignments as directed by the supervisor or Organizational Effectiveness leadership team * Maintain confidentiality of information and records received per agency policy, minimum standards, contracts, and applicable laws.
* Record, prepare, and distribute minutes of various meetings.
* Coordinate maintenance of office space and office equipment.
* Maintain office supply inventories.
* Manage agency funds, resources, and equipment according to agency policy and procedures.
* Ensure all facilities and equipment are clean, organized, and maintained.
* Coordinate and organize meetings, workshops, and training sessions, including room bookings, agenda preparation, materials distribution, and follow-up communications.

* Provide administrative support for special departmental projects, including tracking project timelines, milestones, and deliverables, and assisting with project-related communications and practical assistance.
* Provide secondary support to receive and follow procedures for proper handling of resident release files, foster home closures, and generate foster home licenses for the signature of the Vice President for Programs as requested by the supervisor.
*WORKING CONDITIONS* The Administrative Assistant (Organizational Effectiveness) is an hourly position with a normal workweek of 40 hours.
The normal work schedule is 8:00 a.
m.
to 5:00 p.
m.
weekdays, but it may be changed to meet the needs of the office/department.
An automobile for in town travel is required.
Mileage reimbursement is provided for use of personal vehicle for approved business purposes.
A technology stipend is provided to support the communication requirements of this position.
*EDUCATION/LICENSURE* A high school diploma is required.
Three years of relevant experience is preferred.
*TRAINING* Training hours must be completed annually to comply with licensing, contracts and accreditation standards, as well as MCH policy.
The employee's supervisor may require additional training to meet specific job requirements or enhance professional growth.
Completion of training requirements is mandatory for continued employment.
*OTHER* The Administrative Assistant (Organizational Effectiveness) must be at least 21 years of age and have a valid Driver's License, an excellent driving record that meets the standards set forth by the liability insurance company and Methodist Children's Home, no criminal history and acceptable references.
