Reports To: Vice President of the Student Experience
Job Summary: Provides administrative support to the Vice President of Student Services, to the Dean of Students and to other members of the Student Services division.
Supports all Student Services functions, including assistance, reporting, and meeting and event coordination.
Minimum Required Education: Associate’s degree or a combination of experience and education that yields the required knowledge, skills and abilities Minimum Required Experience: Two to four years clerical and administrative support Preferred: Work experience in higher education Required Abilities: Ability to be detail-oriented.
Ability to set priorities, meet deadlines, and multi-task with minimal supervision.
Ability to work independently and as a member of a team.
Ability to communicate orally and in writing.
Ability to interact with all levels of the organization.
Ability to maintain confidentiality of all information.
Ability to articulate and support the values and Code of Conduct of Hill College.
Ability to interpret and abide by the policies and procedures of Hill College Ability to operate a personal computer and other standard computing equipment.
Working knowledge of Microsoft Office products including Word, Excel, and Outlook.
Ability to operate photographic equipment (basic).
Ability to think critically and apply appropriate problem-solving skills.
Ability to maintain a positive and professional image of self and college on and off campus.

Required Knowledge: Working knowledge of admissions and registration policies and procedures.
Working knowledge of cashier and general office policies, procedures and practices including filing, keyboard usage, answering the phone, and directing calls to the appropriate resources.

Working knowledge of purchasing procedures.
Essential Job Functions: Performs general administrative tasks including, but not limited to, coordinating appointments and meetings, answering the phone and directing calls to the appropriate resource, typing correspondence, filing and maintaining files, copying and distributing materials, ordering supplies, creating purchase orders and sorting and distributing mail.
Greets visitors, faculty, staff and students.
Aids students with various needs as applicable.
Initiates, tracks, organizes and processes purchase orders and requisitions.
Serves as initial liaison with the Business Office for all purchasing needs.
Assists in collaboration efforts and relationship building to support the Student Services Division including all student services activities, goals, objectives, evaluations, and programs.
Provides assistance in the distribution of departmental and Hill College information, as needed.
Updates and prepares documents student services and other departmental resources as needed.
Assists in updating institutional documents.
Assists the Vice President with the division/departmental budgets.
Coordinates lost and found for the Hill County Campus, maintaining items, documentation in lost and found log, and disposing of items according to institutional procedures.
Submits maintenance, custodial and IT work orders, including orders for event set-ups, residential life and campus safety reports.
Assists and carries out projects, services, and activities for the Student Services division including, but not limited to, scheduling and coordinating meeting set-up, taking minutes, record keeping, data entry, and correspondence.
Assists with programs and events hosted by Student Services, the college, and/or student groups as needed.
Coordinates travel arrangements for departmental staff as requested.
Issues, distributes, and maintains parking stickers for faculty and staff, including data entry and reporting.
Coordinates annual purchase of district parking stickers.
Other Information: Provides notary service as needed.
Serves on institutional committees as needed.
Security sensitive position.
Must have a vailid Texas driver's license.
Physical Requirements: Light work; exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects, including the human body.
The use of arm and/or leg controls requires exertion of force greater than that for Sedentary Work.
