Clerk I Clerk I/Psychiatry The Clerk I will be accountable to and serve under the supervision of the Lead Psychiatrist or Medical Director.
The Clerk I shall assist the general operation of the Psychiatry Services Office.
Tasks require familiarity with the computer, as well as regulations controlling the employing agency/department, its functions, policies and practices and the making of minor decisions in the application of such regulations.
Work procedures are established by the Medical Director and are subject to periodic review.
Unusual work problems are referred to the assigned supervisor.
The Clerk I is employed by Mexia State Supported Living Center and is subject to transfer/re-assignment based on the needs of the facility and at the discretion of the administrative staff.
The Clerk I perform’ s routine level clerical work.
Work involves but not limited to scheduling psychiatry clinics, data entry, recording meetings, generating agendas, property inventory, ordering supplies, and submitting maintenance work orders.
Provides general clerical support to the Medical Service department.
Essential Job Functions: Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Will perform assigned clerical duties to assure that Psychiatry Services is operated in an efficient and timely manner, including: Assisting doctors, and nurses with paperwork/document processing, Receiving and routing incoming and outgoing mail.
Scheduling psychiatry clinics.
Data Entry Generating agendas Property Inventory Ordering supplies Submitting maintenance work orders Keeping filing up to date, performing other duties as assigned by completing assignments given by supervisors; and accurately reporting outcomes of assigned duties in a timely manner.
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
Such participation may require an alternate shift pattern assignment and/or location.
Knowledge Skills Abilities: Graduation from an accredited Senior High School or GED equivalent.
Training in the use of office machines, including computer, typewriter, calculator, transcription machine and copy machine.
Ability to type at least 40 words per minute accurately.
Working knowledge of Business English, spelling and punctuation.
Proficient in MS Word, Excel, and Outlook.
Ability to make judgmental decisions and apply knowledge of departmental rules.
Ability to deal with the public in a pleasant and effective manner and to maintain harmonious working relationships with other employees.
Ability to work under pressure of deadlines.
Ability to maintain records and prepare reports; to make mathematical computations with speed and accuracy; to compose letters and memoranda; to understand and follow moderately complex oral and written instructions; and to maintain confidentiality.
Ability to perform light lifting and carrying (under 15 lbs.
) and reach above shoulder in order to put away supplies and maintain a neat work area.
Ability to provide individual care, to administer first aid and/or cardiopulmonary resuscitation, to conduct Safe Use of Restraint (SUR), to communicate effectively, to train others, and to supervise the work of others.
Registration or Licensure Requirements: N/A Initial Selection Criteria: Graduation from an accredited high school or GED, plus two (2) years of secretarial work experience.
One (1) semester (15 semester hours) of accredited college work in a related field may substitute for six (1) year of the required work experience.
Experience answering phones and forwarding messages to appropriate people.
Computer experience to include Microsoft Office Word, Excel and Outlook.
Experience in operation of email exchange in an electronic work environment.
Experience in clerical work, preferably in a healthcare capacity.

All State Supported Living Center employees are subject to Random drug testing.
Flexibility in work hours may be required for this position.
The position may be required to work overtime and/or extended hours.
Must be willing to work weekends and holidays.
