We have an immediate opening for a highly organized and proactive Administrative Specialist to provide comprehensive administrative support to our team of teams.
This position reports directly to the Chief Administrative Officer and is a full-time, on-site opportunity located in Waco, Texas.
The ideal candidate is someone who can navigate complex, and sensitive projects with the ability to adjust quickly within a fast-paced environment.
This individual will embrace challenges with confidence, urgency, and positivity.
You must have great communication skills, and the desire to drive initiatives to success.
You must be highly detail-oriented, able to multi-task, and manage initiative with reliability and follow-through.
General Office Responsibilities: • Open office at 7:45 each morning.
Close office at 5:15 each afternoon.
• Answer phones in a professional and friendly manner (take and deliver messages as needed).
• Greet clients, visitors, contractors, etc.
in a professional, friendly manner.
• Offer visitors coffee, water, etc.
• Keep kitchen organized and clean (empty dishwasher, refrigerators, etc.
).
• Make coffee throughout the day – make sure at least one pot is full at all times.
• Prepare overnight packages and outgoing mail.
• Open and deliver incoming mail.
• Order office supplies, overnight delivery supplies, and maintain supply closets in a neat, orderly fashion.
• Call for repair on copiers when needed.
Order toner and supplies for copies as needed.
• Order food for webinars, meetings, and office events.
• Mail/overnight Bidding/Contract Documents to contractors as directed.
• Neatly organize conference room at the end of each day.
• Assist marketing/admin team with planning and executing company events throughout the year.
• Create/set up/review projects in Vision.
• Scan and electronically file archived project files.
Engineering Administrative Assistance: • Assist in preparing proposals in response to RFPs and RFQs.
• Assist in updating and maintaining resumes for Engineers, EITs, and Surveyors.
• Prepare and/or proofread and format scope and fee proposals.
• Support engineering staff as needed by reviewing/formatting/editing reports, cost estimates, etc.
Skills and Experience The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, along with the ability to maintain a realistic balance among multiple competing priorities.
Minimum Qualifications: • Excellent writing and proofreading ability.
• Highly proficient in Microsoft Office products (Word, Excel, PowerPoint, Outlook, etc.
) • Ability to communicate clearly.
• Ability to pay attention to details while formatting documents in Word, Excel, etc.
• Ability to meet strict and sometimes very tight deadlines.
