Reports to: The Office Manager, and TC Manager
Summary of position: The Treatment Coordinator is responsible for each patient's initial orthodontic exam.
The TC will guide the patient through the new patient process, starting from the time of making the appointment until they arrive for their consultation.
Will be responsible to ensure that the patient/parent are informed of all aspects of treatment such as insurance, cost and expectations.
Most importantly, they will ensure that the patient's needs, wants and concerns are addressed prior to starting.
Must be able to work well with different doctors and staff.
Responsibilities and Duties: Reviewing exam schedule 2-3 days prior Calling and introducing themselves to the patient/parent 2 days prior Informing pt/parent (at call) of SDS discount or any promotions/info needed to ensure a start Obtaining any missing pt information prior to visit (insurance, email, etc.
) Ensure insurance is verified prior to exam Contacting pt DDS prior to exam/getting Dental Clearance Ensuring Exam room is presentable/keeping work area and needed instruments sanitary Maintain a sterile and neat working environment according to current infection control procedures.
Communicate necessary information with the team Returning Phone calls/messages and emails Making pending calls Completing charting and scanning of documents Run necessary reports such as Recall, WCB, Exams Canceled and completing pending calls or follow up calls Ensure all patient information is entered in accurately Quote office fees/insurance coverage accurately Perform other administrative duties as necessary Expectations: Ability to thrive in a fast-paced and agile environment Support the front and clinic areas when necessary Knowledge of company policies and procedures.
Knowledge of dental software applications Note: The essential job functions of this position are not limited to the duties listed above.
Minimum Requirements: Education: High school diploma or GED Certificate Preferred.
Experience: A minimum of one (1) year as a registered dental assistant preferred.
Equivalent experience in orthodontics preferred.
Licensure: Certification as a Registered Dental Assistant.
Additional Requirements: CPR and AED certification, radiation safety course.
Bilingual (English and Spanish) preferred.

Ability to work at least a 40-hour week.
Ability to sit for long periods (6 or more hours).
Ability to use both hands in fine manipulation of small tools (copier, computer, telephone, calculator, fax machine, etc…).
Ability to push and pull up to 10 lbs.
(file cabinet drawers, computer paper boxes, etc…).
Ability to see well enough to read handwritten and printed material.
Ability to lift and carry up to 25 lbs.
to move/transfer file boxes, and date processing paper.
Ability to stoop, kneel, and bend to retrieve files from bottom shelves and drawers, to move boxes of paper and forms to and from computer printers.
Ability to reach, turn, and twist above and below the waist.
Ability to stand and walk the facility grounds.
Ability to spend 90% working time in an environment with continuous low voices and office machine noise typical for a business office atmosphere.
Ability to handle a variety of repetitive tasks at a moderate level.
Ability to occasionally handle electrical, mechanical, or equipment emergencies.
