What We're Looking For
The Visitor Services Coordinator will serve as the first point of contact for all guests in the McLane Alumni Center in the Mark and Paula Hurd Welcome Center, and for all constituents contacting University Advancement via phone and email.
They will respond and interact with constituents and campus partners in a professional, engaging, and timely manner, and serve as an Advancement and University subject matter expert to skillfully answer questions, provide directions, and facilitate connections.
They will coordinate and provide administrative support functions for the McLane Alumni Center and other University Advancement projects, events, and initiatives as needed.
An Associate degree, one year of relevant experience and an active Christian faith are required.
A Bachelor's degree and three years of relevant experience are preferred.
Applicants must currently be authorized to work in the United States on a Full-Time basis.
What You Will Do Serves as the primary contact for University Advancement constituents.
Maintains consistent, punctual attendance to fulfill required job duties and meet the needs of the Division of University Advancement.
Ensures consistent, professional demeanor, behavior, and appearance to appropriately represent the Division and University.
Quickly develops and maintains a high level of University and Division-specific knowledge to serve as a subject matter expert.
Serves as a valuable resource for all guests, callers, and correspondents; quickly and correctly addresses their needs and connects them to other helpful campus partners and resources.
Demonstrates a high level of skill in critical thinking and issue resolution.
Prioritizes in person guests by greeting them promptly and warmly; skilled at effectively interacting with multiple guests at once and managing a variety of needs and requests.
Responds to all Division calls and emails promptly and completes any needed follow up within 24 hours.
Embraces diversity by practicing inclusion when engaging with all constituents.
Provides administrative support for McLane Alumni Center operations.
Ensures processes and procedures are in place for effective and efficient daily operations in the McLane Alumni Center.
Coordinates / supports meeting logistics for McLane Alumni Center events.
Responsible for purchasing and stocking all needed supplies.
Serves as a helpful liaison between University Advancement and campus partners.
Demonstrates a high level of discernment to identify, analyze, and independently solve issues in accordance with University and Division policies and procedures.
Maintain and manage the McLane Alumni Center front desk and phone coverage schedule.
Provides Division data management, project, and event support.
Maintains discretion and security with constituent information.
Demonstrates expertise in utilizing Vision CRM and documents constituent interactions in Vision on a timely basis.
Demonstrates expertise in and provides administrative support within event management software system.
Prepares and distributes needed reports on a regular cadence.
Provides project management and event support as needed.
Facilitate the University’s commemorative giving program, including, but not limited to, memorial and tribute gift acknowledgment notifications.
