Payroll and Accounts Payable Coordinator Job description Summary The Payroll and Accounts Payable Coordinator performs complex tasks related to payroll, purchasing, and financial operations.
The position reports to the Accounting Manager and collaborates with the CFO to implement new initiatives.
Responsibilities Payroll Process bi-monthly payroll accurately for deposit to employee accounts on the 5th and 20th of each month (or the preceding business day).
Review employee timesheets to ensure accuracy of wages paid, including overtime calculations, PTO, and leaves of absence.
Process child support orders, garnishments, and tax levies.
Develop and maintain processes and reports to efficiently and accurately calculate sales commissions and other incentives based on information from CRM, accounting software, sales commission software, and other systems.
Coordinate with HR and departmental managers to maintain accurate employee pay rates and paid time off (PTO) balances.
Ensure payroll-related information within various systems is kept in sync.
Process changes to employee records to update and maintain direct deposit information, federal and state tax withholding, 401(k) contributions, and other payroll deductions for employee benefits.
Provide excellent service to AxisCare employees regarding payroll inquiries.
Coordinate with external accountant regarding state and local taxation requirements, quarterly payroll tax reporting, and W-2 production at year end.
Accounts Payable & Expense Management Review corporate card spend for reasonableness and sufficiency of substantiation.
Ensure that corporate card transactions are categorized appropriately; coordinate sync to accounting system.
Follow up with cardholders as needed to ensure compliance and timely reporting of expenses.
Ensure that invoices are properly reviewed and approved for payment.
Communicate with vendors and/or internal staff about discrepancies or to locate invoices.
Pay invoices in accordance with contract terms and invoicing instructions to avoid fees or penalties.
Assist departments with procurement of goods and services.
Coordinate with external accountant to collect W-9s and produce 1099s at year end.
Financial Operations Recommend and implement initiatives to improve systems and processes related to payroll and purchasing.
Implement policies that enhance corporate financial stewardship and ensure compliance with relevant regulatory requirements.
As part of a growing company and department, the position will also perform other finance duties as assigned by the Accounting Manager and CFO, such as assisting with financial review and reporting, budgeting, customer payment processing, and financial systems implementation.
